Job description
Hopkins Architects are currently recruiting for a Project Administrator to join its award-winning, design-led practice.
The Project Administrator is an integral part of the project team, as such you will work closely with Directors and all architectural staff.
The ideal candidate will have previous experience in an admin/ data entry role and will enjoy working in a collaborative and creative environment.
Your responsibilities will involve close collaboration with project and design teams to implement effective control systems and oversee the internal correspondence distribution process, fostering positive relationships both internally and externally.
Project Administration sits within the Support Team at Hopkins Architects, and where necessary you may be required to help cover reception and other office admin duties.
Continuity is important with this position, we are looking for someone who wants to become involved, learn and grow within the creative office environment.
Day to day project administration tasks will be decided in conjunction with the project teams and subject to subsequent review; but may include:
• Liaising with members of the design team, contractors and clients
• Co-ordinate issue of information, working with project teams to facilitate the timely issue of project
drawings
• Logging of incoming and outgoing information within the project filing system
• Maintaining project procedures and ensuring they are followed by all team members
• Updating drawing registers and issue sheets
• Manage uploading and downloading project information via EDM sites, eg. Viewpoint, Asite and
Aconex
• Assist with Site Report production and distribution using Microsoft Office Suite
• Update and manage trackers to monitor information flow and outstanding actions
• Ensure practice standard and templates are adhered to
• Work with project teams to implement systems of control
• Monitor project processes relating to document control
• Maintain order and tidiness of team areas and the office in general
• Ad hoc duties as required to assist project teams.
Job requirements
TECHNICAL SKILLS / QUALIFICATIONS REQUIRED
• MS Office: Word/Excel/Outlook- essential
• Excellent language and communication skills
• Experience of using EDM systems e.g. Viewpoint for Project, Aconex and Asite would be an advantage
• Adobe Creative Suite would be an advantage
